1. Who we are

EventFloww ("EventFloww", "we", "us") is an event-management platform operated from Hyderabad, India. This Privacy Policy explains how we handle personal data across our marketing site, the EventFloww application, and the attendee portal.

For event organizers using EventFloww (our "tenants"), we act as a data processor for the attendee data they collect. For our own account holders and website visitors, we act as the data controller.

2. Information we collect

We collect the following categories of information:

• Account data: name, work email, phone, organization name, and role, provided when you sign up.
• Attendee data (on behalf of organizers): registration form fields, ticket and check-in records, and any custom fields the organizer configures.
• Payment data: processed by Razorpay. We store transaction references and status, never full card numbers.
• Usage data: pages viewed, features used, device and browser information, and IP address, used to operate and improve the service.
• Communications: emails and WhatsApp messages sent through the platform, and your support correspondence with us.

3. How we use information

We use personal data to:

• Provide, operate, and secure the platform.
• Process registrations, tickets, check-ins, and payments.
• Send transactional communications (confirmations, reminders, receipts) and, where permitted, product updates.
• Provide analytics to organizers about their own events.
• Detect, prevent, and investigate fraud, abuse, and security incidents.
• Meet legal, tax, and accounting obligations in India.

4. Service providers we share data with

We share data only with vetted providers needed to run the service:

• Razorpay, for payment processing.
• Twilio and Meta (WhatsApp), for WhatsApp messaging.
• Zoho ZeptoMail, for transactional email delivery.
• Our cloud hosting provider in the EU/India region, for infrastructure.
• Analytics and ad-conversion endpoints (Meta, Google) only when an organizer enables them for their own event.

5. Cookies

Our marketing site uses essential cookies and, only with consent, analytics cookies. The application uses cookies and local storage strictly to keep you signed in and remember preferences. We do not sell personal data.

6. Data retention

We retain account and event data for as long as your account is active, and afterwards only as needed to comply with legal, tax, and accounting requirements. Organizers can delete attendee records from their events at any time. Purchased WhatsApp credits and billing records are retained per statutory requirements.

7. Security

We protect data with encryption in transit (TLS) and at rest for sensitive fields, role-based access controls, encrypted offsite backups, and least-privilege access for our team. See our Security page for more detail.

8. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and object to certain processing. To exercise these rights, contact us at the address below. If you are an attendee, please contact the event organizer first, as they control your registration data; we will assist them on request.

9. Children

EventFloww is not directed at children under 16, and we do not knowingly collect their data.

10. Changes to this policy

We may update this policy from time to time. Material changes will be posted here with a revised "last updated" date.
